25 Things to Ask Yourself Before Hiring Your DJ!

Have I got a list for you! I have been providing this list to hundreds of Brides and Grooms when they say they are simply “shopping around”. I encourage you to utilize these questions and be sure that you get an answer for every question.

You will find that I touch on many of these items throughout the book but I am providing this list as a tool for you to use in your search.

No Professional Wedding DJ will tell you that any of these questions is not important. This is your wedding day; every question is important!

1. Does the Disc Jockey Company issue formal quotes for their services?

Every DJ Company should issue a formal quote for services even after any email exchange. It simply provides an exact total of money for an outline of the services being offered.

2. Does the DJ Company require a deposit? Refundable or Not, they should as part of their contract with you.

Any DJ company who does not require a deposit is either nuts or not serious about your event. I don’t know of any DJ Company who doesn’t require a deposit of some sort. It is simply your commitment to a DJ Company’s service. If they don’t ask for a deposit, then offer one. It will solidify any contract you may have with that DJ Company.

3. Does the DJ Company require a signed agreement which outlines their services for you returned to them to confirm a booking date?

If they don’t require this, be very wary. My own word is as good as gold but I still get everything in writing for my own clients. Have peace of mind knowing that they are under an obligation to provide you with a certain service for your wedding day. You wouldn’t want to get to your wedding day, have a no show DJ, phone him and he says, hey, we didn’t have a contract! This is more common than you think.

4. Do they charge for Travel, if so, where to, and how much?

Sometimes this is necessary for DJ’s to do; especially for out of town events or events where a fuel expense is much larger than usual. If you are in a remote area or are inviting a big city DJ to your wedding, be sure to inquire about any and all travel expenses that may come your way. Most DJ Companies will require a deposit plus their travel expenses up front when accomodations and perhaps a Ferry service are required.

5. Can the Disc Jockey Company provide any client references for quality and professionalism?

Wow, this is so important. What a past client has to say about someone’s service is far more powerful than any advertisement, fancy web site or a 5 star sales pitch. A DJ company should openly offer you past client comments and / or references if you ask. If they refuse to provide them or can’t provide them, you should walk the other way.

6. Is the DJ Company a preferred vendor of any wedding vendor companies or venues in the local area? Can they be contacted for a reference?

A Wedding DJ comes in contact with many different venues, vendors, and wedding planners throughout his/her life. If they are on the level, they are normally able to provide you with a reference from one of these categories or even all of them.

Perhaps they are a new company and have not worked with many other vendors, which is very possible. It is also possible that they have not built a business relationship with any other wedding vendors. Never the less, Don’t be shy, just ask for that reference!

7. Are they a licensed business in their respective city? If not, why?

Many businesses for some reason don’t have a civic, provincial, or state license to do business; whichever applies. Being in business has its responsibilities and this is definitely one of them for a business owner. A reputable company should have a business license as it is a requirement in todays’ world.

8. Do they carry valid business liability insurance?

Why does my Wedding DJ need Liability Insurance? Well, nothing in this world is perfect including electronics. When you sign your venue contract, you normally agree to be responsible for any and all damages that may occur by you, your guests, or 3^rd party vendors that are involved with your event. As such, if your Wedding DJ accidentally breaks something coming in or out of the room, their insurance will cover the said damages and it won’t be on you to take care of the bill as long as they have that liability insurance.

9. Do they belong to a quality governing association such as a Disc Jockey Association or Better Business Bureau?

This is not a requirement for seeking out a quality Wedding DJ, just a little added bonus. Most Disc Jockey Companies are part of a governing body of some sort. It is not to say that the governing body endorses the DJ Company but they have met with certain standards to be a member.

10. Is the Disc Jockey attending your event using modern, professional and reliable equipment?

Professional Equipment is a definite must. Grandma’s Ghetto Blaster is not appropriate for a wedding. Sound reproduction through professional grade equipment will provide you with an enjoyable sound for every song, including your first dance. Ask them what kind of equipment they use.

Equipment will normally tell you if they are professional and understand what equipment is required for your wedding entertainment. I have expanded on this area of questioning in a later chapter within this book.

11. Do they have back up equipment?

All DJ’s should have back up equipment to insure your events success if something were to go awry. Make sure to ask them about this and be confident with their answers.

Some DJ’s will have it on site; some will have it close by. Either way, it is very important that there is a fool proof plan for replacing equipment if something should unfortunately go wrong.

12. Does the DJ Company provide a dance lighting package?

More and more Disc Jockey Companies are now including dance lighting with all of their packages to provide the client, that being you, with an overall experience. If you went to a night club to dance, would it be the same without dance lighting? Even if a company doesn’t include it, ask about what it would cost to add it. You will be grateful you did.

13. Does the DJ Company provide Ceremony, Cocktail, Dinner, and Dancing services if required?

This will be a clear sign if they are a true Wedding DJ. If they can’t provide all of the music services listed, then you should move on.

Any Professional Wedding DJ that I have ever worked with or have ever known; and that is a large number; has been able to accommodate any and all elements of a wedding requiring music.

14. When will the DJ be setting up the equipment being used for your event?

If only within an hour of your event, will they really have enough time to fix a problem if one arises? A wedding setup is always up to the DJ’s discretion. Some set ups take longer than others. I have personally always lived by the rule to be ready to play at least one hour prior to the start of my contract. It provides me with the flexibility to deal with any and all issues that may perhaps arise. (Knock On Wood!)

15. Do they provide Government Licensed Music as required by law?

Licensed Music is required no matter who the DJ is. If you are unsure of their answer, ask to see the license! They should definitely be happy to show it to you.

16. How extensive is the Music Catalogue they provide?

The music catalogue should be able to accommodate those of all ages and have a diverse listing throughout the different genres.

17. Does the Disc Jockey Company take requests at your event?

A Smart DJ will ALWAYS take requests at every wedding….it makes their job a lot easier. However, it has been known throughout history where a Bride and Groom will provide the DJ with a list of music and insist that no requests be taken or played. This is never a good practice……Make Your Request for Requests Today!

18. Will they actually play requests or be swallowed up by their own tastes in music?

This is part two to question 17. Many DJ’s will take the requests but never play them. However, in a DJ’s defense, sometimes the music requested would either kill the dance floor in an instant and then nobody would dance to the song requested or would not fit in with the format of your wedding as requested by you. So with that said, ask your DJ if he will play requests that are reasonable, danceable, and fit with the format of your wedding style.

A Professional DJ should be open minded when it comes to your taste in music. This is your wedding and should be treated as such. The DJ should offer guidance and advice when it comes to your musical selections.

19. Have you spoken to the actual DJ who will be entertaining at your event prior to confirming the booking?

Make sure you feel comfortable with the actual DJ performing before signing any agreement.Chemistry.!! I will touch on this a few times throughout this book but it is so very important. Talk to the DJ who may be performing at your wedding. Even the larger companies should be able to accommodate this request. If you don’t feel confident, ask if there is another DJ available at that company. If not, then you can decide on your level of comfort. Do they instill confidence and make you feel that they are able to fulfill your vision for your wedding day?

20. Does the Disc Jockey Company have a back up DJ in case of illness?

Many big city DJ’s have a network of DJ’s available in case of illness. Many companies keep a spare for that rare occasion someone should take ill. We as Professional DJ’s take our music and work seriously. I have actually DJ’d with a fever of 103 and been death worn over. Brought my back up DJ with me, just in case, and that wedding was actually the wedding of the year at my Company. Having a back up is very important; life happens!

21. Can you reach the Disc Jockey entertaining at your event easily, prior to your event?

If you book with this company, will you have direct contact with the DJ entertaining at your event via phone or email? Planning changes or simply the planning process needs to be communicated. 3^rd party communication provides opportunity for error. Direct Contact is the best way.

This question can also be applied to the actual wedding music consultation. Your actual DJ should be the one who sits with you and goes through the music. Your wedding has feeling and emotion; so for someone to truly understand your vision, they should sit and talk with you.

22. Do you feel comfortable conversing with the Disc Jockey? Do they instill confidence?

This is pretty much self explanatory. It is part B to question number 19. Once again, Chemistry is so important. Do not take it for granted as you will more than likely regret it.

23. What will your DJ be wearing on your wedding day? (in my opinion it should be a suit)

Why is this important…..well, you are in a five diamond venue, everyone is in suits and tuxedos. The room is beyond elegant and everything is perfect in it’s place. However, your DJ is wearing shorts and a tank top....? Just because it is a hot summer day in August doesn’t mean this is appropriate in any way. Suitable attire for your wedding day is the way a Wedding DJ should be dressed. Blending in with your guests while not out dressing you and your guests is far more suitable. A suit is normally perfect. Many companies provide their DJ’s work shirts, golf shirts, which is okay, but in my opinion, it should be a suit. Providing respect to you and your day is very important from everyone.

24. Do They Provide a Wedding Music Consultation prior to our wedding? When? If Not, Why?

This should be part of any and every wedding package. Sitting down with you, face to face, and discussing one of the most important elements of your wedding day is necessary. If a DJ Company does not provide Brides and Grooms with a music consultation, then I would be leary about their wedding services. This also refers to question number 21 on the previous page.

25. If seeking Emcee Services (Master of Ceremonies), do they provide one?

With regards to this question, I have always been of the mindset that a 3^rd party should never Emcee a wedding. The reason for this is that we, as DJ’s, don’t normally know you as intimately as say your Uncle, Brother, Cousin, or Best Friend.

However, with that said, I believe it is a perfect practice for a Professional Wedding DJ to provide your MC with the tools to help them along the way including support on the actual day of your wedding and reference to some great books on MC’ing. Your DJ should easily be able to accommodate any MC questions that may arise.

In my opinion, your Emcee should be someone who has a vibrant character yet understands the importance of flow. Someone who is easy to listen to and of course, a little humour always helps.

Your emcee should have the ability to create rapport with your family and guests and be spontaneous so that there is no “dead air” time. They should also have a strong connection with you so their feelings for you come across with sincerity. Yes, it makes a difference!

Where Do I Begin My DJ Search? And When?

There are so many places to begin your search. In today’s diverse market, the trends are pushing Brides and Grooms onto the internet to hunt for all their wedding needs. When it comes to the DJ industry, every DJ company who has anything to offer, great, good or bad; is listed somewhere online.

You can also find listings for DJ’s in pretty much any wedding magazine; local or nationally based. Of course when looking in a wedding magazine the DJ Company provides specific wedding services. This does not apply to online advertisers. I have personally seen a DJ company who does not offer wedding services in an actual wedding directory. The reason is so that people can find their business no matter if they can assist you or not. The battle to the top of the search engines is their focus; not your valuable time.

There are a many great sites throughout North America that will provide Brides and Grooms with all the information they require as well as a directory of all the businesses that cater to weddings. I personally recommend that when you look online, save yourself some time. Stay away from directory sites that are specific to only DJ services. Any company catering to weddings is listed in a wedding directory if they care anything about their business.

Locate a directory within your geographical area to narrow down the choices of advertising companies. This is when the search gets interesting. Visit the different web sites that are available, variety is very good! What sites instill that extra bit of confidence? Those are the ones you will be taking with you to Chapter 2 of this book.

A site that outlines their company, is informative, and provides easy contact is a good start. Do not dismiss a website or company simply because they have not posted their pricing. They are not hiding anything. As a matter of fact, it is a situation of customer service. What if your wedding details do not exactly fit with the packages posted? Would it be fair to you if you thought that was the price then when you decide to book with the company, the price goes up because not all the details were made known to the DJ Company. An assumption of price for any service is never a good thing. Allow the DJ Company to provide you with the proper pricing in an email or telephone call once they have your details because then you know exactly what it will cost. Save yourself some time and obtain accurate and correct information.

I always joke about looking through directories. As I am an online marketing “guru” for my own businesses, I pick and choose which directories are worthy of my extra advertising dollars. Sometimes you, the client, will come across a directory that a DJ company with the same views as mine, have not paid for banner advertising and we are simply listed at the bottom of the company listing pile. When you look at a directory; yes, look at the sites of those companies that have paid for some good advertising; but then take the time and pick one of those companies simply listed in the directory. Hey, you never know, they could very well be the perfect fit for you on your wedding day. It is all about the chemistry, but I will expand on this further in chapter 4.

Wedding Magazines; never put all your search energies into this format of where wedding businesses advertise. Many quality companies utilize the word of mouth strategy through client referals and only display their company online for information. However, do not abandon those advertisers in the magazine. You want a very wide variety of selections. The idea is to focus on a few different sources for quality Wedding DJ’s. The old saying holds true; Don’t Put All Your Eggs in One Basket!

Another valuable resource is a local wedding planner, even if you are not using their services. Most quality wedding planners will be honoured that you trust their judgement regarding any vendor, especially a DJ.
Why not ask friends or family who have booked a DJ before. Remember the weddings or events you have been to, did any of those DJ’s stand out in your mind? Was there a mind blowing party experience that plagues you to this day? Call them first and see if they do weddings.

So, here it is! This is what all my fellow Professional Wedding DJ’s have been waiting for. NEVER, EVER HIRE A FRIEND OR FAMILY MEMBER! They can’t separate business and personal, it is a true recipe for disaster. This is not a plug to increase the number of bookings for DJ’s worldwide but simply a fact that you may not be aware of. Countless weddings are ruined by this, the number one hiring mistake. Now, I am not in anyway dismissing someone’s ability to produce a first class show, but even I know that your friendship or family relationship is worth more than the music at your wedding. Besides, are they not a GUEST?
When my daughter gets married, I can easily do the music, but will I? No! I could even have one of the DJs at my own company do it, but will I? NO! Keep it business with no personal attachment and honestly, finding a total stranger that you have instant chemistry with is by far the best thing you could ever do.

You may be thinking to yourself that a Professional DJ or DJ period is very expensive and I could save myself some money by putting the music on a portable device and just click play myself. What??? Are you Crazy??? Why would you want to do that??? Take the time to budget and hire that Professional Wedding DJ because I don’t think you want to be controlling the music all night. Once again, having a friend or family member do the music, who may very well be a guest also, is not a good idea.

WHEN DO I BOOK MY WEDDING DJ?

Before even heading down this path, let’s first find out if they even have availability for your wedding day. Many sites nowadays have an automated availability checker which will tell you if they are even available. If it comes back saying yes, then great! If it says no, then your search continues.

Another main reason I wrote this book was that so many Brides and Grooms leave the DJ until last on their booking list. This is a huge NO NO! Quality Professional Wedding DJ’s book up fast and normally the year before! The other problem is if you book your DJ late, there is not normally enough time to properly plan the music for your wedding day with you. Rushing and placing additional stress on your DJ is never a good thing. Give them enough time to accommodate all your requests and understand the vision for your wedding. Booking early also allows you the time to make changes regarding your music or style without worry. Pretend for a minute that a Professional Wedding DJ is a Wedding Planner; you wouldn’t book them the month before, or would you?

A Professional Wedding DJ will take your wedding seriously and in doing so, puts a lot of energy into your day through the music planning process. Martha Stewart was quoted as saying “The music entertainment you select for your wedding or party is responsible for 80% of the event’s success and the memories you will have for the rest of your life”.

With a perception such as that, do you really want to leave your Professional Wedding DJ till last on your booking schedule?

Why did I write this book?

I wanted to dispense with the pre-mindset notions of how a Professional Wedding DJ should be the last item on your booking list, the last on the level of importance, and finally the idea that a Professional Wedding DJ should be at the bottom of the list when it comes to the wedding budget.

Thousands of Brides and Grooms have called me and asked right off the bat, how much? Well, don’t you want to know what we offer….? No, just the price!
I am here to tell you that price means nothing unless you are getting what you deserve on your wedding day. Many times, my cell phone has rung and it is a Bride or Groom complaining about the discount entertainment they hired and how it ruined their wedding. I have never been sure how to approach the call so I have always simply stated that they had the opportunity to book a professional and we are terribly sorry it didn’t work out with that other company. Then they ask where they file a complaint?
Seriously, if you were me, why would I even listen to another word? Why complain when you turned down the opportunity to book a Professional Wedding DJ! Besides, who am I to deal with complaints?

This by far is reason enough for the purpose of the writing of this book.
Please read the whole book and grasp a full understanding of how a Professional Wedding DJ should be presented to you and what you should expect. This book is based on my extensive knowledge of the wedding industry and countless weddings I have personally provided entertainment for.

Sound Explosion Entertainment Joins the Toonies for Kids Society!

“Too Early, Too Small,” the Canadian Institute for Health Information recently found that more than 54,000 of the approximately 350,000 babies born nationwide in 2006-07 came into the world prematurely. A premature baby on average costs a hospital $9,233 compared with $1,050 for full-term babies. That amount goes up to $12,479 when the premature baby is part of a multiple birth such as twins or triplets, CIHI said.

Sound Explosion Entertainment has become a corporate sponsor of the Toonies for Kids Society. The organization has been started by 7 passionate individuals, whose objective is to raise awareness and partial funding for the Paediatrics and Neonatal Intensive Care Units at Royal Columbian Hospital.

All proceeds from the Toonies for Kids Society will benefit Royal Columbian Hospital Foundation in their support of the Paediatrics and Neonatal Intensive Care Units at RCH, which collectively care for more than 2,300 premature, ill and injured children each year from throughout British Columbia. Royal Columbian Hospital Foundation is an independent charitable organization that raises millions of dollars every year to fund patient care projects and equipment needs at the hospital.

It is truly amazing how many people call me each day and ask the one question which should not be the most important when seeking their wedding dj. How Much?? The first question should be, Are you available? Then there are a slew of questions to follow that. There is no point in talking about price my friends if there is no CHEMISTRY! Yes, chemistry is the most important thing to look for when hiring a Professional DJ for your wedding. If you don't "click" and feel comfortable with them, then why even bother hiring them? Just because they are $300 cheaper than everyone else is not a reason. Besides, why are they so much cheaper?

Ask to meet your potential wedding dj and I hope that before you ask How Much??, you will consider my thoughts on Chemistry.

WOW! Congratulations to Coleen Duncan and Rob Richards of Port Coquitlam on winning the Dream Wedding Giveaway Contest. An event; which was organized by Daniela Ciuffa Photography and Elana at Sweet Beginnings Wedding and Event Planning; provided this very happy couple with the ultimate free wedding.

The reason for the contest was to simply give back to the wedding community during turbulent times for all the success we have received over the years.

The contest was based on the submission of stories outlining why couples deserved a free wedding and including all of their trials and tribulations in life.

A group of premier wedding vendors offered their services at no charge to fulfill the need for a complete wedding. Sound Explosion Entertainment was on the list of vendors and was present during the awarding of the wedding to the lucky couple on Wednesday April 01, 2009. No, this was not an April Fools Joke!

Vendors were present to congratulate the happy couple as tears of joy streamed down Coleen Duncan’s face; the lucky bride. The couple was very emotional and possessed a contagious smile.

The Community and DJ Copious

Hi!
I thought my first post should outline my community interests and formulate a complete understanding of where I place my ethical and moral values. I am a supporter of three major causes and outlining them brings me pleasure.

The first cause I am a supporter of is the British Columbia SPCA, specifically the West Vancouver Shelter. Each year they receive my full services of music and MC work for their annual event, The Paws for a Cause event. This occurs every September and this year the event is on Sunday September 13, 2009 at the West Vancouver shelter. This event brings local businesses who support the SPCA together in a festival type setting and also includes a Walkathon to raise money which directly supports the animals in the provincial shelters.

Another great cause I support is the Children's Wish Foundation annual fundraising walk and this year I will be sitting on the event committee. The foundation provides the fulfillment of dreams to children with high-risk life-threatening illnesses. I provide entertainment for this event as it truly is a worthy cause and the funds raised go to the creation of smiles and dream fulfillment for children. The event this year will be on Sunday October 18, 2009, location still to be decided.

And finally the third charity I support which was created by a business associate and friend of mine is the Growing Hearts Foundation. This foundation provides desireable environments for sick children through the means of landscaping. For example, this past summer, Steve Jones, owner of Urban Escapes Landscaping and also the founder of this great foundation, with the help of the BC Landscapers Association and other landscaping specialty companies, built a wheelchair track for the children of Sunny Hill Hospital. This track comes complete with curbs, bumps, dips, and a little rough terrain so the children who are using wheelchairs can learn how to use them properly in the real world. This little track also comes with wonderful landscaping, a little creek, bridge and wonderful plants and flowers that will flourish with the warmer months. A practical resource for children that was donated by a group of landscapers.

Now, beyond this, I have many charity interests but these are simply the main ones.
